A custom data integration, delivered as a user-friendly Windows application, designed to connect QuickBooks Desktop (QBD) with the Lasso platform. This powerful tool assists our client, Elite Multimedia, by performing a crucial bi-directional sync: pushing Customer, Job, and Invoice data from Lasso into QBD, and then pulling resulting Payment information from QBD back into Lasso to close the financial loop.
The Challenge
Our client, Elite Multimedia, was experiencing significant operational bottlenecks due to the manual data gap between their primary operations platform, Lasso, and their accounting system, QuickBooks Desktop (QBD). Their workflow required staff to painstakingly re-enter every Customer, Job, and Invoice from Lasso into QBD to handle billing. Furthermore, once a payment was recorded in QBD, that information had to be manually transferred back to Lasso to reconcile the project record.
This constant, bi-directional double entry was not only a major drain on administrative time but was also highly susceptible to human error, leading to billing inaccuracies and data discrepancies between the two systems. The inherent delay between job completion in Lasso and invoice creation in QBD negatively impacted the company’s cash flow, while the lack of real-time payment visibility in Lasso hindered the operations team’s ability to effectively manage projects and client accounts.
The Solution
To bridge the manual gap between Lasso and QuickBooks Desktop, Pell Software engineered a dedicated, user-friendly Windows application to serve as a powerful integration hub. The solution was designed to run locally on the client’s machine, interacting directly and securely with their QBD company file via the QuickBooks SDK. This approach provided a simple, reliable, and secure tool that gave Elite Multimedia’s team full control over their data flow.
The application’s core functionality is centered around a simple “Run Sync” button. When initiated by the user, the integration performs a robust, bi-directional data exchange. First, it intelligently syncs all new or updated Customer, Job, and Invoice records from Lasso into QuickBooks Desktop, eliminating the need to create these entries manually for billing. Next, the tool scans QBD for any payments that have been applied to those invoices and syncs that critical payment data back to Lasso. This second step automatically closes the financial loop, ensuring the operations team has an up-to-date view of project payment status.
To ensure a seamless user experience and data integrity, we built an integrated alert system that provides immediate, clear pop-up notifications on the user’s desktop if any item fails to sync correctly. The entire project was delivered using Pell Software’s proven methodology, which included comprehensive internal testing, a collaborative client acceptance testing phase to ensure all requirements were met, and dedicated post-launch support to guarantee a smooth transition and long-term success.
The Outcome
The implementation of the custom integration tool delivered an immediate and substantial return on investment for Elite Multimedia. By replacing the tedious, bi-directional manual data entry process with a simple one-click sync, the solution reclaimed countless administrative hours.
